Point Program

Info
Purpose:
This section explains how to set up point program, point expiry timing, and rank-up conditions etc.

1. Where to set

  1. Setting page: Brand Management Screen
  2. Action: 'Setting' → [Point Program]













2. Point Naming (Require)

  1. Set the name of the points.
  2. The name set will be displayed on the guest-facing screens (Booking Widget, Member’s My Page, and notification emails).


3. Point Expiring Rules

3.1 Amount (Required)

1. All points
All points will expire at the same time.
*Points issued before this setting follow their original expiration date.
2.Point Batch
Set an expiration date for each point.

3.2 Date (Required)

1. Number of monthThe expiration period can be configured.

2. Override expiration dates
From the 1st of the membership registration month
・The expiration period is set based on the number of months from the 1 day of the membership registration month.
・Points
granted within 1 year from the 1 day of the registration month will expire on the “Point Expiration Date”.

▼Example:
Point Expiration Date: 24 months
Membership registration date: 2025-10-20
First day of the registration month: 2025-10-01
Points granted between 2025-10-01 and 2027-09-30
→ Expire on 2027-10-01
■From the last reservation checkout date
The expiration date of applicable points is updated based on the last recorded checkout date, plus the configured number of months.

●Note:
・If the new checkout date is earlier than the currently recorded latest checkout date:
→ The expiration date is not updated.

・If the new checkout date is later than the currently recorded latest checkout date:
→ The expiration date is extended to the new latest checkout date + configured months.

・If there are no stays within the validity period:
→ Registration points and birthday points expire 24 months after the date they were granted.

Example:
・Number of month: 24 months
Registration points granted: 2025-04-01
No stays made through tripla by the end of March 2027
→ Points expire on 2027-03-31
Checkout date: 2025-10-20
→ Points expire on 2027-10-19
3. Considered points types
Select which point types will have their expiration dates updated from the following:
・[Points for reservations] (set by default, cannot be change)
・[Migrated points]
・[Manually added points] 

3.3 Automatic Expiration Reminders

Automatic reminder emails can be sent regarding point balance and point expiration date.
・Emails are delivered daily at a fixed time to all eligible customers.
・If even 1 point is about to expire, the reminder is sent to all customers, regardless of their email settings.
The number of days before expiration for sending the reminder can be configured. minimum 1 day before expiration.
Warning
<Limitations of the Points Expiration Reminder Email>
・The delivery history of points expiration reminder emails is not available in the tripla Management Screen.
・The reminder email content cannot be edited in the tripla Management Screen.
・The reminder email content cannot be previewed in the tripla Management Screen.
・The delivery time cannot be specified.
・If points are added manually from the Management Screen, reminder emails will not be sent retroactively.
 (ex. If the reminder is set to 30 days before expiration, and the expiration date is 10 days away,
adding points manually will not trigger a reminder email.)
A domain other than “tripla.jp” can be used.
 Change the setting in: Brand Management Screen → Admin Settings → General Settings → Custom Email Domain.

4. Point Using Rules

1. Enable points to be used at payment stage
・When the checkbox is selected, points can be used at the time of reservation.
・If not selected, points cannot be used during booking.
2. Minimum usable unit
・Sets the "minimum usable unit" required to use at booking.
・Points can be used only when the balance is equal to or above the minimum.

▼Example
If the minimum is set to 100 points, having 50 points will not allow point redemption.
Points can be used only after accumulating 100 points or more.
3. Usable unit
・Sets the unit for point "Usable Unit" at booking, points can be redeemed in units of that value (100, 200, 300 … 1,000).

▼Example:
If 550 points are available, a maximum of 500 points can be redeemed.
The remaining 50 points will remain unused.
4. Point exchange rate with currency
・The monetary value of 1 point can be configured (e.g., 1 point = 1 JPY).
*Once activated, this setting cannot be changed.


5. Point Adding Rules

Info
The point awarding rules can be modified even after activation.
After the rules are updated, the revised rules are applied when an existing reservation is modified, even if the reservation was originally created before the update.
When the box is checked, the point awarding rule is active(activated by default)
If [Only add points via API] is selected, Tripla won’t add points automatically, but rank settings remain for notification emails.

5.1 Add points by

1. Number of nightsThe point rate can be set according to the number of nights.
2. Payment
The point rate can be set according to payment amount.
*When “Payment” is selected, the option [Include tax amount] becomes available.
3. Tax included 
■Enabled
Points are calculated as:
Payment Amount × Point Conversion Rate

Disabled
Points are calculated as:
(Payment Amount − Consumption Tax) × Point Conversion Rate
4. Recalculate point rewards
on the checkout date 
・Enabling “Recalculate points on checkout date” updates points based on the latest member rank at checkout.
*Cancelled reservations are excluded from the recalculation.

5. Membership Rank &
Conversion Rate
・Select a membership rank and configure the point rate accordingly.
・The membership ranks displayed in the Point Conversion Rules section are linked to the ranks configured in the default Membership Program.
Indicates the percentage of points given based on the payment amount or number of nights stayed.
*If no rank settings are configured, the conversion rate will be saved as 0 and cannot be changed afterward.
6. Grant points for registration
Points are automatically granted at the time of member registration.
Points are awarded after the member completes email verification.

8. Grant points for birthday
・Points are automatically granted on the member’s birthday.
・Points are granted on the birthday, starting from 8:00 AM (JST), and a notification email is sent.
・Birthday points are awarded when either:
 - No birthday points have been granted previously.
 - At least one year has passed since the last birthday point was granted.
(If the birthday has been changed, the new birthday applies after one year from the previous award date.)

9. Ranking Points
・If the "Ranking Points" is checked, points can be included in the points used for rank calculation.
・If the checkbox is unchecked, points are excluded from rank calculation.

Warning
Reservation Modifications and Point Adjustment
  1. If a reservation is modified from the Management Screen before points are awarded, the points are updated automatically.
  2. If the reservation is modified after points have already been awarded, a warning message appears upon completion of the modification.
    When a warning message is displayed, adjust the points manually from the Member page.

Important Notes
  1. Because points are awarded after the checkout date, point deductions cannot be processed at the time of reservation modification.
  2. When a reservation is modified by the guest from the Reservation Confirmation Page, the points to be awarded are also recalculated.
  3. When a reservation related to point awarding is modified,
    the
     point activation date and expiration date are recalculated based on the updated stay period.
    ▼Example:
    Original stay: 10/17–11/7
    Modified stay: 10/17–10/23
    → The new reference date becomes 10/23, and points will be awarded on 10/23.

Information: 
When a booking using points is cancelled, points are returned and the cancellation fee is based on the full room rate.
If the fee 
exceeds the paid amount, a payment error may occur, which the facility must handle.

6. Rank Up Conditions (Required)

  1. Rank is updated once a year on the 1st day of the member’s registration month.
  2. Rank is determined based on the total points earned within one year.
  3. Even if the rank does not change, a notification email is still sent to the member after recalculation.
  4. If “Recalculate points on checkout date” is enabled, points are recalculated based on the new rank after rank update.
▼Example
・0~: Gold
・10,000~ points: Silver
・20,000~ points: Bronze
・50,000~ points: Platinum
▼Note
If a member earns 52,000 points in the first year → Platinum.
If they earn only 5,000 points in the second year → Gold.
Ranks change according to the past year’s total, regardless of older history.
Warning
Attention:
  1. Only points earned from reservations are counted for rank calculation.
  2. Manually added points (via tripla book screen or CSV upload) are excluded from rank calculation.

6.1 Point Accumulation Period

1.  year(s)・Set the point accumulation period (e.g., 1 year).
If set to 1 year, rank is determined by the total points earned in the past year.
・Members
 rank up when meeting the condition or rank down when not meeting it.
2. All time・If set to "All time", rank is based on the total accumulated points since registration.
In this case, members can rank up, but will not rank down.

6.2 Rank recalculation date

・Rank is updated once a year on the night of the selected date.
・The update is based on the total points earned during the selected accumulation period before the calculation date.

6.3 Immediate Rank-up

・ If a member meets the rank-up condition during the daily point recalculation, the system can upgrade the rank immediately.
・ When this setting is enabled, ranks will upgrade the day after the condition is met, instead of waiting for the annual rank update.

Information:
If the point program starts after the membership program, the period before the point program launch is also included in the rank calculation.
▼Example:
  1. Point program start date: October 1, 2025
  2. Member registration date: March 15, 2025
  3. Usage from March 1 to September 30, 2025 is counted toward rank (e.g., Silver, Gold) based on achieved conditions.

7. Enable Membership and Point Program for Property

  1. Brand administrators can allow Property Administrators and Property Operators to:
    1. View membership and point program information
    2. Add or deduct points (if enabled)
    3. *Not allowed: creating, editing, or downloading membership programs.
  2. Point adjustment permissions:
    1. Selecting [Add] or [Deduct] enables point changes.
    2. If neither is selected, access becomes read-only.

8. Hide points in My Page

Check this option to hide points on the member’s My Page.

9. Points in Case of Cancellation

  1. Points used for a reservation are returned to the member if the booking is cancelled.
  2. Even if a cancellation fee is charged, no points are awarded for that fee.
  3. The refund status can be checked from 'Members' → "select the member" → [Member History] in the Brand management screen.
