Purpose:
This section is to explain how to set up membership program.

1. Where to set

  1. Setting page: Brand Management Screen
  2. Action: 'Membership programs'  [Add]


2. Create Membership Program 

2.1 Enable Membership Program (Required)

There are two ways to activate the Membership Program:
1. Check the box next to [Membership program is active]
2. Enable it from the Membership List page.

2.2 Program Name (Required)

Enter the Membership "Program Name".
  1. When only one membership program is available, it is hidden from customers.
  2. If multiple programs are available, they appear in a dropdown menu on the membership registration and login screens.

Warning
Attention: 
Make sure Membership "Program Name" is set in each language.

2.3 Membership Rank (Required)

  1. Set membership levels such as Bronze, Silver, Gold, etc.
  2. To add more ranks using the [+] button on the right, or delete them using the [trash can] button.  
  3. Additional levels can be added after the membership program is created.
Warning
Attention:
Ranks can be deleted only when no members are assigned; otherwise, an error message appears.

2.4 Default Rank (Required)

  1. This rank is assigned when a customer registers as a member.
  2. It defines the initial membership level given upon sign-up.
  3. Customers can view their membership level in their account information.

2.5 Upload Image (Optional)

  1. Upload image for each of the membership level. 
  2. The uploaded image will be displayed in the account information. 
  3. *Recommended size: 32×24px*
Warning
Attention:
If no image is set for the membership rank, the default image shown below will be applied.

3. Sign up page (Optional)

  1. When the "Login Widget" is ON and "Sign up page" is set to [Active]
    "Create an account" button will appear in the Booking Widget.
  2. Deactivating the "Sign up page" will hide the "Create an account" button.

WarningIf the registration page is disabled, member information can still be managed by importing member data from the Member Page in the management screen.

When the "Sign up Page" is turned ON, it is possible to set the Membership Registration Promotion Header.
1. Membership headline at sign-up screenCreate  a phrase encouraging customer to register as members.
2. Membership benefits at sign-up screenDescribe the benefit of membership in line to encourage to register as member.

3.1 Additional fields for registration (Optional)

3.1.1 Email permission

  1. Displays the option for email subscription on the member registration page.
  2. If checked, the “Receive promotional emails” box is selected by default.

3.1.2 Membership user setup & Membership user authentication for setup

This function restricts access to the email and password setup fields unless a pre-issued Member ID is entered.

Warning
The membership program can still be used without this setting.
This option is intended for cases where membership registration requests are received from guests,
who have already registered via paper forms or another system, and a Member ID has been issued in advance.

3.1.3 Member sharing setting

This is to configure whether to use an independent membership system with separate login or to share member information.
1. No settingOnce configured, this setting cannot be changed, and it exists by design as the system’s default status.
2. Own members
Select this option when operating a single membership program or when multiple programs exist but each member logs in separately.
Also select this option when member information is pre-registered by the property.

*When a member registers under a program that uses “Own Member”, they are automatically registered in the default membership program using the same email address and password.
3. Sharing with Membership program Triplabook・Select this option when operating a corporate membership program.
・Member information is 
shared with the default membership program.
・After logging in as a corporate member, if the same member logs in as an individual, their personal information can be used for reservations (however, 
points cannot be used).
・Reservations can also be managed from 
My Page.

4. My Page (Optional)

  1. Allows setting whether guests can edit their own membership account information.
  2. When checked, the option appears and customer can edit their details.
  3. When unchecked, it is hidden and customer cannot edit their information.

 "Promotion email setting" will not be displayed on "My Page".
Warning
Attention:
If a member belongs to multiple membership programs, editing is only allowed when all programs they belong to permit editing.

5. Organization (Optional)

  1. Used when setting up a corporate membership.
  2. When enabled, login as a corporate member will be required before searching for accommodation plans.

6. Membership ID QR Code (Optional)

When checked, members can display their QR code from the account screen.
Click [My QR Code] on the right side of screen.
Warning
Attention:
If the Membership ID field on the member page is blank, the QR code will not be generated.

7. Membership ID Generation (Optional)

  1. When checked, a membership ID is automatically generated.
  2. The generated ID is a random numeric string and is unique across the entire brand.
  3. Enables configuration of the membership ID prefix and length.
  4. A specified string can be added as a prefix before the ID (special characters not allowed).
  5. The ID length can be set between 6 and 11 digits.

8. Notification Email for New Member Registration

To receive notifications when a customer registers as a new member, configure this in Email Notification Settings.

9. Member Registration / Login Page (Required)

InfoPurpose:
This section is to explain 
how to display Member Registration / Login Widget on the Booking Widget.

  2. Action: 'Settings' → 'Widget Setting' → 'Login Widget'

Information:
  1. It is possible to specify the CSS selector for a web page element.
  2. When the user clicks the specified page element,
    the corresponding 
    Booking Widget page (Login, Member Registration, or My Account) will open directly.

Note:
This setting requires creating a CSS selector.
Please consult your 
website developer if you wish to use this function.


10. Membership Promotion (Optional) 

Info
Purpose:
This session is to explain how to set up a Membership
Promotion (Member Pricing) .
  1. Setting page: Brand Management Screen
  2. Action: 'Promotion'   [+ New Promotion]

Activate Promotion 
The [Active] button is ON by default.
To turn it OFF, click the button.
Promotion Name
It will be displayed above the price information on the booking widget.
Promotion type
・For membership programs, select [Standard Promotion].
 *Once this is set, it cannot be changed.
・The discount is applied directly to the plan price.
・Only one standard promotion will be applied at a time — the lowest price among them.
 However, this can be used together with a [Coupon Code] promotion.

Promotion Conditions -
Target users

・To set member pricing, select the desired membership program from the dropdown.
・Only active programs will be displayed.
* If [All Users] is selected, the promotion will be applied to everyone who accesses the Booking Widget, including non-members who are not logged in. 
Promotion Conditions -
Target Membership Rank
When a membership program is selected, "Target Membership Rank" will appear.
[Select All] if all ranks share the same member price or if only one rank exists.
Promotion Conditions -
Promotion Period
1. "Valid through"
This is the period during which the promotion is valid and reservations can be made.

2. "Target staying period"
This is the period during which stays can be made using this promotion.

3. "Exclude during"
An exclusion period can be set for dates when the promotion should not be applied 
▼Example:
・During the New Year holidays.
→To exclude stays from December 30 to January 3, set the Start Date to 2024-12-31 and the End Date to 2025-01-03.
Tax inclusion
The promotion discount rate is applied including tax.
By default, the tax-inclusive setting is applied and cannot be changed.
Promotion rate
・ Choose the "Pricing structure" to apply the promotion:
  "For room charge plans" or "For head count charge plans".

・ For Standard Promotion :
  * Can be applied to both pricing structure.
  * The membership rate follows the plan’s "Pricing structure".
  * It is also possible to apply the promotion to only one type.

・ 100% OFF (free) setting is also available.

・ For  "For head count charge plans", promotions can be customized by guest tier (Adult / Child).

Max discount per reservation room
When a promotion is set as a percentage discount under  "For room charge plans", the maximum discount amount per room will be displayed.
Target plans
Select which plans the member pricing will apply to.
*30 plans are displayed per page.

11. Member Information Registration

Member information can be added in three ways:
  1. By customers on the member registration screen
  2. Manually through the management screen
  3. In bulk by importing a CSV file

11.1 Add Members Individually Through the Management Screen

  1. Setting PageBrand Management Screen
  2. Action: 'Member' → [Add]
Step 1After clicking [Add], the Add Member page will appear.
Step 2
Enter the required information (Such as Name, Email and Phone Number) and click [Save].
*
The Membership ID field can be left blank.
In this state, the user cannot log in from the member login page.
To enable login, complete the registration as follows:
Step 1After adding the member, inform the user of the registration and provide login instructions.
Step 2The member user should visit the login page and click “Forgot Password” to reset their password.
Step 3After resetting, log in using the new password.

11.2 Import Members in Bulk through the Management Screen

  1. Setting PageBrand Management Screen
  2. Action'Member' → [Import]
Step 1
Redirects to the Member Import screen.
Download the CSV template from this page.
Step 2For details on how to input the member information for each field, please refer to the instructions in the "Upload List".
Step 3
Click [Browse] → Select your prepared CSV file → Click [Upload] to complete the import.

Warning
Attention:
When member information is imported, no email notification is sent to the customer.
Just like when adding members individually, manual completion of registration is required for the member to be fully registered.

11.3 Download Member Information

  1. Setting PageBrand Management Screen
  2. Action: 'Member' → [Download CSV] 

Info
  1. When filters are applied, up to 10,000 records can be downloaded.
  2. Without filters, there is no limit on the number of records.
  3. If the number of members to download is 1,000 or fewer, the CSV file can be downloaded directly.
  4. For downloads between 1,001 and 10,000 records, a download link will be sent to the email address used for login.
  5. The CSV file can be downloaded from the link in the email.
  6. For downloads exceeding 10,000 records, a link will be sent to the login email address.
  7. From the link in the email, download the CSV as a ZIP-compressed file.

12. Additional Notes

12.1 Change the Expiration of the Confirmation Link

  1. Setting page: Brand Management Screen
  2. Action 'Settings' → "Membership Program Settings" → "Feature Settings".

Set the expiration period for the membership registration confirmation link sent to customers upon registration.
Warning
Attention:
  1. The same expiration period applies to password reset linkssign-up links, and email address update links.
  2. Setting an expiration period for verification links is mandatory for security reasons.
  3. Only the expiration time can be modified.

12.2 One-time QR code

This feature is used when encrypting membership QR codes is necessary, such as for smart check-in machines.
  1. The membership ID in the QR code is encrypted and includes a timestamp.
  2. The receiving system must decrypt the code to read it.
  3. An encryption key is required for decryption.
  4. To obtain the encryption key, please contact the Technical Support Team.

13. Unlocking a Member Account

Info
If a member enters an incorrect password 6 consecutive times or more, the account will be locked.
The account lock is automatically released after 1 hour.
*Please note that resetting the password does not unlock the account.
■How to unlock from the admin screen:
  1. Setting page: Brand Management Screen
  2. Action:  'Members' → Relevant Member
When an account is locked, the "Account Lock Status" checkbox is selected.
Uncheck Account Lock Status, and [Save].

Info
When the account is unlocked, the screen is displayed as shown in the image below.
The checkbox is grayed out and cannot be selected.
Warning
  1. If the full registration has not been completed, the Account Lock Status is not displayed.
    In this case, complete the full registration by resetting the password.
  2. Only Brand Manager can unlock the account.
    If such permissions are not available, please contact a user who has Brand Administrator permissions.
