Guest Booking Flow

Purpose:
This section explains the booking and reservation flow on the customer screen.

1. Reservation Flow

Step 1
・On the search bar, enter the check-in & check-out datenumber of guests and number of rooms
・If the Kids Setting is enabled, number of children field will be available.
(Up to 15 children can be add per room)
・If the Kids Setting is disabled, only the total number of guests can be selected.
Step 2
・Click [Search] to display available rooms and plans on the search results screen. 
Step 3
After click {Book] button, the screen will switch to Customer Information Entry page.
Step 4
・Fill in the Guest Detail field on the left side of the screen.
・Double check the Room Detail, Price Detail and Total Amount, on the right side of the screen

*If additional questions are registered, they will be displayed here.
*If property notices are registered, they are displayed in the middle of the screen.
*If optional sales are configured, they will be displayed at the top.
*On the right side of the screen, discounts applied using coupon codes, point usage, and the total amount including coupons are displayed.
Step 5
・Select Payment Method and checked the term of use and privacy policy.
・Click [Confirm Your Reservation] to complete the reservation.
*For Credit card payment, prepayments are processed as immediate payments.
*With the introduction of GMO’s 3D Secure, all card brands (VISA, Mastercard, JCB, AMEX) will redirect users to a verification screen.

Step 6
Once the reservation is complete, a screen like the one below will be displayed.

*If additional questions are configured on the reservation completion screen, they will be displayed under "Manage the reservations" on the right side.



1.1  Search result Screen 

1. Check in - check out dateThis is to change check in - check out date. 
If the date is change search result screen will be refreshed.
2. GuestsThis is to change the number of guest, as well as the number of adults and kids.
3. Book for day-use onlySearch only for day-use plans.
4. Date undecidedSearch even if the dates are not yet decided.
5. Show only availableOnly display plans that are available based on the selected date and number of guests. 
*This option is checked by default.
6. SortSort the results by lowest price, highest price, or recommended order.
7. FilterFilter by room type (e.g., single/double), smoking/non-smoking, and with/without breakfast.
8. Room / PlanSwitch between searching by room or by plan.

1.2 About Coupon

  1. To use a coupon discount, please enter the code here.
  2. For detailed settings regarding coupon codes, please refer to Promotion

1.3 About Points

  1. To use points toward the accommodation fee, please enter the amount here or choose to save point for later.
  2. For detailed settings regarding points, please check Point Program.

■When a payment error occurs while using points: 

If a reservation using points and credit card payment fails due to a payment error, the points used at the time of booking will temporarily be marked as Used.
The reservation data is automatically deleted on the following day, at which time the points are restored.

▼Example

If the 3D Secure password is entered incorrectly, the reservation is temporarily placed on hold.
When the reservation data is deleted the next day, the used points are returned.

If points need to be used urgently, the property may temporarily grant points.
After the original points are restored on the following day, please deduct the temporarily granted points.


2. Reservation Confirmation Email

After the reservation is completed, a reservation confirmation email is sent.

3. Reservation Modification Available

  1. Reservations can be modified from the guest’s reservation confirmation screen.
  2. This screen can also be accessed via the confirmation email sent at the time of booking.
Changes are NOT allowed after check-in.
Step 1
Reservations can be updated from the right side of the screen.

Step 2・After clicking [Update you itinerary] the following pop-up screen will be displayed. 
・Click [Search] button to search for available room and plan.
Step 3
・The following screen will be displayed and [Cancel Update] button will be available.
・Click  [Cancel Update] button to cancel the change process or click [Book] to choose room and plan.

Step 4
・After clicking [Book] the following screen will be displayed. 
・Click [Confirm your reservation] to proceed with the changes.

Step 5
After confirming the changes, a reservation change confirmation will be sent.

Warning
  1. If the payment currency is not JPY (foreign currency payment via MCP), [Update you itinerary] cannot be performed for the following actions:
    1. Reduction of nights
    2. Reduction of rooms
    3. Applying a coupon code
  1. When changing the payment method from pay-at-property to prepayment, MCP can be used.

4. Reservation Confirmation Page Link

  1. The reservation confirmation email sent after a booking includes a link to the reservation confirmation page.
  2. To place a link on a website, the following URL can be used: https://WEBURL/?tripla_booking_widget_open=confirm
    *It is possible to search and book across all properties within the same hotel brand.

5.  During Maintenance

  1. When system maintenance is in progress, the service becomes temporarily unavailable.
  2. The default search bar disappears, and new reservations, modifications, and cancellations cannot be performed.
  3. A maintenance notice screen (like the example shown) is displayed during this period.

6. Payment Failure

  1. If a payment fails, an error message appears on the reservation screen.
  2. The process stops at the payment step.
  3. The reservation is not completed.
