Reservation Update Policy

Purpose: 
This section explain how to set up options that allow or restrict users from modifying their reservation details or changing their payment method on the reservation confirmation page.

1. Where to set

  1. Setting page: Property Management Screen
  2. Action: 'Settings' → 'Booking Engine' → 'Reservation Update Policy'

Warning
  1. If the payment currency is not JPY (foreign currency payment via MCP), [Update you itinerary] cannot be performed for the following actions:
    1. Reduction of nights
    2. Reduction of rooms
    3. Applying a coupon code
  1. When changing the payment method from pay-at-property to prepayment, MCP can be used.

2. Allow updating guest details

  1. If this is enabled, the user will be able to modify their information detail after making a reservation. 
  1. WarningIf this section is disabled, a warning message below will appear on Booking Widget at the time of booking:
    "
    The guest's name cannot be changed after the reservation is made. 
    Please be sure to enter the name of the actual guest.
    "
  2. After the booking is completed, guest information cannot be changed.
    However, they can update their information when modifying their reservation.
  3. Reservations created before this setting was enabled can still be modified.

3. Allow updating reservation content update

  1. If this option is enabled, setting for [Accept reservation update against check-in date]
    and [Scope of reservation update] will be displayed.
  2. [Update your itinerary] option will be available on reservation confirmation page

3.1 Accept reservation update against check-in date

  1. When reservation changes are allowed, set the deadline date and time for reservation changes.

3.2 Scope of reservation update

There are two option for this section:
1. UnrestrictedIf it's enabled, the following changes are allowed:
・Reducing nights, rooms, or guests
・Adding nights, rooms, or guests
・Changing room type
・Changing plan
2. Allow the following updatesIf it's enabled, only the specified changes will be allowed.
・Reduction of rooms
・Reduction of nights

・The system allows users to reduce nights even when no inventory is available.
・If the plan is no longer available for sale (e.g., sold out or closed), the reservation cannot be modified.
・User can still reduce rooms or nights even if the plan is paused, outside the display period, or in secret mode.
Room reduction and night reduction can be performed on the guest side even when the reservation includes multiple plans or when the plan is in one of the following states:
 - Sales stopped
 - Outside the posting Period
 - Outside the offer Period
 - Secret mode

4. Allow coupon application

  1. When this option enabled[Allow coupon application] option will be available on Reservation confirmation page

  1. After clicking [Allow coupon application], a coupon code entry will appear. 

5. Allow updating payment method from on-site to credit card

  1. When this option enabled[Accept payment method update against check-in date]
    and 
    [Send Pre-Payment Emails] setting will be displayed.
  2. [Pay by credit card} option will also appear on Reservation confirmation page. 

5.1 Accept payment method update against check-in date

  1. When payment method changes are allowed, set the deadline date and time for reservation changes.

5.2 Enable pre-payment emails to promote credit card payment 

  1. A reminder email is automatically sent to guests with pay-on-arrival reservations before the check-in date,
    prompting them to switch to credit card payment.
1. Updating Payment 
"0 Days Before" Before" is set as default and cannot be change.
2. Days before 
The day of reminder mail can be scheduled here, make sure it is align with the payment update deadline. 
3. Delivery Time
・The time of reminder can be scheduled on this section.
・Time zone is set as default and cannot be change.

Warning
  1. This reminder email is sent based on the period during which guests are required to update their payment method.
    ▼Example:
    If the payment update option ends 10 days before check-in and the reminder is set to be sent 7 days prior
    ⇒ The email will be sent 17 days before check-in.
    The reminder should be configured according to the payment update period.

  1. When reducing guests or nights through reservation modification, no cancellation fee is charged even within the cancellation policy period.
    *If cancellation fees must be collected for reductions, disable reservation modification and have the reservation recreated.
  2. Points can be applied again during modification, but points used in the original reservation are not returned to the balance.
    ▼Example:
    If a guest has 3,000 points and used 1,000, the maximum usable during modification is 2,000.
  3. A coupon code applied after reservation completion can be used even with no remaining inventory, as long as the plan status is “On Sale”.
  4. If the original plan is not on sale or is a secret plan, the coupon code cannot be applied.
  5. When the reservation cannot be modified by the guest, coupons also cannot be applied from the admin panel.
    In such cases, adjust the rate using the price change function instead.
